Data Coordinator for Large Public Transport Project in Stockholm

We are seeking a Data Coordinator within Investment Project roles for a full-time assignment in Stockholm starting September 1, 2025, until November 30, 2026, possibly extended by three 1-year options. The client is responsible for ensuring well-developed, accessible, and reliable public transport for the region, including subway, buses, commuter trains, and local trains used daily by over 700,000 people.
Main requirements:
  • Minimum 3-year technical university degree or qualified technical vocational education, or alternatively at least 7 years experience as a data coordinator.
  • At least 5 years documented experience with planning and construction processes.
  • Documented experience from at least 3 projects handling administrative management of planning-related information such as drawings, models, and documents.
  • Responsibility in at least 3 projects for ongoing file and data exchange among multiple stakeholders via various document management or collaboration platforms.
  • Documented experience from at least 3 projects establishing and maintaining folder structures in construction projects.
  • Experience in at least 3 projects reviewing model and drawing delivery documentation from designers.
  • Experience in at least 3 projects delivering documentation (models, drawings, and documents) to web-based project platforms including associated metadata.
  • Experience in at least 1 project administering web-based project areas and storage services including access control.
  • Ability to provide two references from previous assignments with similar tasks.
Responsibilities:
  • Work according to project BIM manual and relevant client requirement documents related to data coordination.
  • Support and advise program staff, project management, suppliers, and contractors on methods, routines, processes, and system support for efficient information management.
  • Administer and support project and design leaders in project platforms and case management.
  • Independently document own work in the case management system.
  • Manage access control and membership administration on the program's model exchange platform.
  • Collaborate with project and design leaders and BIM strategist to implement documentation routines in projects.
Required hard skills:
  • Technical degree or equivalent experience in data coordination.
  • Experience with planning and construction project processes.
  • Expertise in administrative handling of planning information (drawings, models, documents).
  • Managing file and data exchange across multiple stakeholders through document management platforms.
  • Establishing and maintaining folder structures in construction projects.
  • Review and formal approval of model and drawing deliveries.
  • Delivering documentation to web-based project spaces with metadata.
  • Administration of web-based project and storage platforms including access control.

  • Experience delivering information in object models in projects.
  • Experience delivering at least one handover to recipients’ management systems like Facilitate (formerly Landlord).
